Student Device Checkout

Overview

Did you know if you are enrolled in courses at GCC you can request a loan for a mobile device to complete coursework remotely throughout the current semester?

There are a limited number of devices. The devices will be handed out on a first come first serve basis.  We open the application process for the next semester 21 days before the current semester ends.

Frequent Questions

Students have 3 requirements:

  1. Enrollment in at least 1 credited GCC class for the current semester.
  2. Have access to their own wireless network.
  3. Have a clear borrowing record with no restriction on borrowing privileges (Students who returned damaged devices, fail to return borrowed equipment, or return late may have borrowing privileges revoked or limited).

All communication from pickup instructions to return notices are sent to the official student email account. Students will watch their Maricopa inbox for updates on approvals, pickup times and locations, enrollment verifications, and all return instructions.

IT has distribution events to aggregate the devices we hand out into a more controlled schedule.

This usually includes 2 events the week before classes start then each Thursday during the semester as needed. Students are not required to come in during these events, but it is encouraged. If the event schedule does not work for a student's schedule, they can come in anytime during business hours. Student borrowers must wait 24 hours after submitting their property loan agreement form for enrollment verification and meet eligibility requirements to pick up a laptop.

There is a 24-hour waiting period after a device is requested. During this time window, a student's eligibility requirements will be evaluated. Devices for the current semester will start going out 1 week before the semester start date. Devices will not be issued sooner than this as IT is processing the returned devices from the previous semester.

Devices are distributed and returned to the service desk located in the center of the High Tech One (HT1) building.

The type of device loaned is based on the classes a student is signed up for.  Some classes have technology requirements that require a higher-end device. If a student is signed up for one of those classes, they will receive a device appropriate for it.

(Please note the number of loaner devices is limited, both regular and high-end, we distribute them on a first come first serve basis. We can only accommodate requests as long as there are devices available.)

Students will be sent multiple emails before the due date. These emails will state when and where the device is to be returned. The due date for a borrowed device is the last day of the semester. The last day to return a device is the last day of the Semester.

Note: If a device is not returned by the last day of the semester, Student Business Services will be notified. They will add a Technology Replacement Fee for the cost of the device to the student’s account. The device will also be locked which will make it unusable.

Students may be required to pay for damaged or lost devices. Students may also be restricted from borrowing GCC devices in the future.

If the device is not returned a Technology Replacement Fee will be added to the student’s account for the cost of the device. Before the student can sign up for additional classes the fee will need to be paid. The fee can be reversed when the student returns the device. The device being returned must be the same device the student was loaned and in working condition. If the device is not in working order the student may still be required to pay for the device.

Each requestor must pick up the device requested. There are two reasons for this- first, we need to ensure the borrower is picking up the requested device as they have accepted responsibility for its care. The second reason is that our laptops use cached credentials to sign in. Logging into the laptop, while on-premises (connected to GCC's network), allows the laptop to remember the borrower's login for later use off-campus. Borrowers who do not log in on the GCC network before leaving campus will not be able to log in from home. It is against computer usage guidelines and IT directives to share account credentials with others to complete this step.

We cannot issue devices to students for consecutive semesters as our devices need to check into our network and be imaged on occasion. Devices are also on a first come first served basis, so our inventory needs to be returned so it is available for all students to use. Extensions are only granted with instructor approval. If an instructor grants students additional time to complete coursework for a specific class, the instructor can send an email to device.request@gccaz.edu to arrange an extension. This extension should only cover the time the student has been allotted to complete coursework and cannot span beyond the next semester's start date.

GCC does not have a process for selling our student loan equipment to students. Students who fail to return their devices will be charged a Technology Replacement Fee. This fee is for the replacement of the device that was not returned in accordance with the borrowing policy. It is not a purchasing agreement. GCC will not remove the device from our computer management system and may even lock the device so it cannot be used from off-campus. A non-returned device is and will continue to be GCC property. The fee students incur after failing to return borrowed equipment can be reversed when the equipment is returned to us and we no longer have to replace it.

Unfortunately, we only have a limited number of laptops available. Once they are exhausted students will still have access to the computer lab resources, which remain available in High Tech 1, Library Media Center and the Beshbito Building on the North campus. The computer labs are equipped with the tools and software needed for completing coursework.

Please note that completion and approval of a device request form does not guarantee receiving a device. This is because we have a limited number of devices that are handed out on a first come first served basis, and we typically receive more requests than available devices.
